Overview

Group travel insurance covers a company's employees for business trips over a year, with unlimited journeys inside a maximum per-trip duration. It is issued to the organisation, and employees are covered by name or by role.

Its value is partly financial and largely operational. An employer sending staff abroad owes them a duty of care, and a corporate travel policy with a real assistance network is how that duty is discharged — someone reachable at any hour, in a city the traveller does not know, who can arrange treatment and pay for it.

Features that distinguish it from personal travel cover are the ones that matter to organisations: political and natural disaster evacuation, cover for company equipment carried by the traveller, and central administration that removes the need to arrange a policy before every departure.

Who should consider it

Any organisation whose employees travel abroad more than occasionally. Companies with formal duty-of-care obligations. Organisations sending staff to regions with elevated medical or security risk.

Benefits

  • Unlimited business trips within the annual period
  • One contract covering the whole travelling population
  • Discharges the employer's duty of care in a documented way
  • Emergency political and natural disaster evacuation
  • Cover for laptops and company equipment carried by travellers
  • Removes the risk of an employee departing uninsured

What is covered, and what is not

Read the right-hand column first. It is the one that decides whether a claim is paid.

Typically covered

  • Emergency medical treatment and hospitalisation abroad
  • Medical evacuation and repatriation
  • Personal accident cover for the travelling employee
  • Trip cancellation, curtailment and missed connection
  • Baggage and business equipment cover
  • Emergency political and natural disaster evacuation
  • Personal liability abroad
  • Twenty-four hour multilingual assistance

Typically not covered

  • Leisure travel, unless a bleisure extension is included
  • Accompanying family members, unless specifically added
  • Countries under sanction or a government advisory
  • Pre-existing conditions, unless declared and accepted
  • Trips beyond the maximum per-trip duration
  • Adventure activities outside the scope of business travel

Inclusions and exclusions vary between providers and between plans from the same provider. The wording in your own policy document is what governs — we will walk you through it before you buy.

How it works with us

  1. 1 We profile the workforce, not just the headcount Age bands, salary bands, locations and dependants. A scheme priced on headcount alone is priced on the wrong data.
  2. 2 Benefit design before market approach Sum insured basis, family definition, waiting periods and co-payment. These decide the premium far more than the choice of insurer.
  3. 3 Quotes compared on claims service as well as price A cheap scheme with a slow TPA costs you in employee goodwill every single month.
  4. 4 Onboarding and employee communication We run the enrolment, produce the cards and explain the scheme to your people. Benefits nobody understands are benefits nobody values.
  5. 5 Mid-term additions and an annual review Joiners and leavers handled by endorsement, and a renewal built on your actual claims data rather than a standard loading.

Important considerations

The things a brochure tends to leave out. Read these before you decide.

  • Check the per-trip duration against actual travel patterns. Long project postings routinely exceed it, and days beyond the limit are uninsured.
  • Decide explicitly whether leisure days added to a business trip are covered. The bleisure extension is inexpensive and closes a gap employees assume is already closed.
  • Circulate the assistance number to every traveller before departure. A policy nobody can find at two in the morning has failed at the only moment it mattered.
  • Review the excluded country list against your travel destinations. Advisory and sanction lists change during a policy year.
  • Where employees travel with family, add them deliberately. Most corporate policies do not include accompanying family by default.

Documents required

  • Company registration and GST details
  • Employee census — age, gender, salary band and location
  • Details of dependants where family cover is included
  • Existing policy schedule and claims data, where renewing
  • Organisation chart, where cover varies by grade
  • Signed proposal form from an authorised signatory

Frequently Asked Questions

Does it cover leisure days added to a business trip?

Only with a bleisure extension. Without it, cover generally ends when the business purpose does — a gap employees routinely assume is closed. The extension costs little and is worth adding as standard.

How is it priced?

On the number of travelling employees, the destination mix and expected trip volume, rather than on individual ages. That is why it works out considerably cheaper per trip than personal cover for a frequent traveller.

What is political evacuation?

Cover for getting an employee out of a country after civil unrest, a coup or a natural disaster. It is one of the genuine differences between corporate and personal travel cover, and often the reason organisations buy this class.

Are accompanying family members covered?

Not by default. Most corporate policies cover the employee alone; adding accompanying family is available as an extension and needs arranging deliberately.

What if a posting runs longer than the per-trip limit?

Days beyond the limit are uninsured. For long assignments, either raise the per-trip limit at renewal or arrange a separate policy for that posting.
