Overview

Event insurance covers the organiser's financial exposure if an event cannot go ahead or is disrupted. It responds to cancellation, postponement and abandonment for reasons outside the organiser's control, and covers the deposits, production costs and revenue at stake.

The exposure builds long before the event. Venue deposits, artist advances, production contracts and marketing spend are committed months ahead and are frequently non-refundable. An event cancelled a week out has already consumed most of its budget.

It is distinct from event liability, which covers claims by attendees for injury. Organisers commonly buy one and assume it includes the other; they are separate covers addressing entirely different exposures.

Who should consider it

Organisers of concerts, conferences, exhibitions and festivals. Anyone with substantial non-refundable costs committed before the event date. Organisers of outdoor events, where weather is a genuine and frequent cause of abandonment.

Benefits

  • Recovers non-refundable costs if the event cannot proceed
  • Covers postponement costs as well as outright cancellation
  • Adverse weather cover for outdoor events, where extended
  • Non-appearance cover for a key speaker or performer
  • Property cover for equipment and staging at the venue
  • Can be arranged for a single event or across a season

What is covered, and what is not

Read the right-hand column first. It is the one that decides whether a claim is paid.

Typically covered

  • Cancellation for reasons beyond the organiser's control
  • Postponement costs and rescheduling expenses
  • Abandonment once the event has started
  • Non-appearance of a key performer or speaker, where covered
  • Adverse weather, where the extension is taken
  • Damage to venue property and hired equipment
  • Loss of ticket revenue, within the sum insured
  • Enforced reduction in attendance, on some wordings

Typically not covered

  • Poor ticket sales and lack of public interest
  • Cancellation for financial reasons or lack of funds
  • Circumstances known when the policy was arranged
  • Withdrawal of a performer for reasons within their control, on some wordings
  • Weather, unless the specific extension is purchased
  • Failure to obtain permits that were the organiser's responsibility
  • Communicable disease, on most current wordings
  • Liability to attendees, which is event liability cover

Inclusions and exclusions vary between providers and between plans from the same provider. The wording in your own policy document is what governs — we will walk you through it before you buy.

How it works with us

  1. 1 We establish whether you actually need it Specialist covers are easy to sell and easy to over-sell. If your existing policy already responds, we will say so.
  2. 2 Valuation and documentation first These covers turn on what you can prove you owned and what it was worth. Getting that right before cover is the whole job.
  3. 3 Two or three quotes, compared on wording Specialist policies vary far more between insurers than mainstream ones. The exclusions are where they differ.
  4. 4 Underwriting, and a survey where the value warrants it Higher-value risks are inspected. It is also the moment to fix anything that would reduce a claim.
  5. 5 Policy issued, with the schedule checked line by line On a scheduled policy, an item not on the list is an item not insured. We check it with you before it goes on cover.

Important considerations

The things a brochure tends to leave out. Read these before you decide.

  • Buy it when you start committing money, not a month before the event. Cover arranged late leaves the earliest and often largest commitments unprotected.
  • Poor ticket sales are never covered. This is a cover against events you cannot control, not against the event being unsuccessful.
  • For an outdoor event, the weather extension is the cover. Without it, the most likely cause of abandonment is excluded.
  • This is not event liability. If you want protection against an attendee being injured, that is a separate policy and most venues require it.
  • Set the sum insured against total committed costs, including staff time and marketing, not just venue and production invoices.

Documents required

  • Identity and address proof
  • Proof of ownership — invoices, receipts or certificates
  • Valuation report, where the item value requires one
  • Photographs of the insured items
  • Details of storage and security arrangements
  • Previous policy and claims history, where applicable

Frequently Asked Questions

Does it cover cancellation because tickets did not sell?

No, and no policy does. This covers events you cannot control — a venue becoming unavailable, a key performer falling ill, severe weather where extended. Commercial failure is a business risk that remains with the organiser.

Is bad weather covered?

Only with the specific adverse weather extension. For an outdoor event that extension is effectively the cover, because weather is the most likely cause of abandonment. It is priced on the venue, the season and the trigger conditions agreed.

When should I buy it?

As soon as you start committing non-refundable money. Venue deposits and artist advances are often the largest single costs and are committed earliest — cover arranged near the event date leaves exactly those exposed.

Does it cover injury to an attendee?

No. That is event liability, an entirely separate policy that most venues require as a condition of hire. Organisers frequently buy one and assume it includes the other.

What if a headline performer pulls out?

Non-appearance cover responds where the withdrawal is for a covered reason such as illness or an accident. Withdrawal for reasons within the performer's control is generally excluded, and the wording on this point varies between insurers.
