Overview
A corporate travel policy covers a company's employees on business trips for a year, with unlimited trips inside a maximum per-trip duration. It is issued to the company rather than to individuals, and employees are covered by role or by name depending on the structure.
Beyond the cost saving, its value is administrative and legal. Employers owe a duty of care to employees they send abroad, and a corporate policy with a proper assistance network is how that duty is discharged in practice — someone reachable at three in the morning in a city the traveller does not know.
The features that distinguish it from personal travel cover are the ones that matter to organisations: emergency political evacuation, kidnap response on some plans, and cover for company equipment carried by the traveller.
Who should consider it
Any company whose employees travel abroad more than occasionally. Companies with a formal duty-of-care obligation. Organisations sending staff to regions with elevated security or medical risk.
Benefits
- Unlimited trips within the annual period, per the plan
- One contract covering the whole travelling population
- Discharges the employer's duty of care in a documented way
- Emergency political and natural disaster evacuation on most plans
- Cover for laptops and company equipment carried by travellers
- Premium is generally a deductible business expense
What is covered, and what is not
Read the right-hand column first. It is the one that decides whether a claim is paid.
Typically covered
- Emergency medical treatment and hospitalisation abroad
- Medical evacuation and repatriation
- Personal accident cover for the travelling employee
- Trip cancellation, curtailment and missed connection
- Baggage and business equipment cover
- Emergency political and natural disaster evacuation
- Personal liability abroad
- Twenty-four hour assistance in multiple languages
Typically not covered
- Leisure travel, unless a bleisure extension is included
- Family members, unless specifically added
- Travel to countries excluded by the policy or under sanction
- Pre-existing conditions, unless declared and accepted
- Trips exceeding the maximum per-trip duration
- Adventure activities outside the scope of business travel
Inclusions and exclusions vary between providers and between plans from the same provider. The wording in your own policy document is what governs — we will walk you through it before you buy.
How it works with us
- 1 Tell us where, how long, and who is going Destination, dates, ages and any medical history. Destination decides the sum insured; age and history decide the premium.
- 2 We match the cover to the visa and the country Schengen has a minimum medical requirement. The US has no minimum and the highest costs. Both need answering properly.
- 3 Declare conditions and activities before you buy A pre-existing condition or a scheduled trek changes the policy. Declaring it costs a little; not declaring it costs the claim.
- 4 Policy issued the same day, usually within the hour Certificate and emergency numbers by email, in the format embassies accept.
- 5 One number to call from anywhere You call the assistance line first, before treatment. That call is what makes a claim cashless rather than a reimbursement fight.
Important considerations
The things a brochure tends to leave out. Read these before you decide.
- Check the maximum per-trip duration against your actual travel patterns. A long project posting can exceed it, and days beyond the limit are uninsured.
- Decide whether leisure days added to a business trip are covered. A bleisure extension is inexpensive and closes a gap employees routinely assume is already closed.
- Confirm which countries are excluded. Sanctions and security exclusions change, and a traveller sent to a newly excluded country is uninsured.
- If employees travel with family, decide explicitly whether the family is covered. Most corporate policies do not include them by default.
- Circulate the assistance number to every traveller before departure. A policy nobody can find at two in the morning has failed at the only moment it mattered.
Documents required
- Passport copy of every traveller
- Travel dates and itinerary
- Visa, where already issued
- Declaration of any pre-existing medical conditions
- Details of any adventure or sporting activities planned
- Student visa and university admission letter, for student policies
